The Regional Facilities Manager (RFM) - Americas is responsible for managing / overseeing all aspects of facilities service, including hard and soft services necessary to support the Client operations in the Americas Region, either directly or through a selected Vendor Partner.  This role is responsible for delivering facilities management and managing third party resources to maintain end-to-end operation of the sites. The role will also include management of the annual operating expense budget, on-going expense and capital forecasting, cost containment or reduction activities, and management of infrastructure expense and capital projects as appropriate.

Responsibilities

  • Act as the main point of contact for regional FM issues and keep abreast of business changes that may impact facility requirements.
  • Ensure the effective operation of facilities in region, managing third party resources to maintain end-to-end operation of sites.
  • The RFM is responsible for the management, supervision, and professional development of all direct reports (e.g., Facility Managers, Facility Coordinators, etc.).
  • Establish written goals and objectives for employees directly reporting to the role of RFM. Conduct quarterly performance conversations.  Develop training recommendations and provide visibility to career path options for property employees.  Ensure the effective operation of facilities in region, managing in-house and third party resources to maintain end-to-end operation of sites. Inspect facilities and equipment to determine extent of service and equipment required.  Recommend, justify, develop and coordinate with the Business Units, projects that enhance the value of the office buildings.
  • Evaluate contract services and manage supplier relationships to ensure effective service delivery.
  • In conjunction with the procurement team, competitively bid and prepare all service contracts to assure high quality and cost effective services. Assemble and analyze contract bids, and submit recommendations and prepare the standard form contract agreement for Strategic Sourcing.  Participate in-group bid process as appropriate.
  • Approve purchases of supplies and equipment for use at managed buildings.
  • Ensure that sites meet required standards from a health and safety perspective and facilities comply with local legislation.
  • Ensure that all defined services are completed in accordance with all operating procedures, statuary requirements, and within the Health and safety guidelines.
  • Proactively involved in ensuring that services are reviewed and refinements made to enhance these services.
  • Review leases across dedicated sites, working with the Regional Portfolio Management Lead and other key stakeholders to proactively manage ongoing leasing arrangements.
  • Support the Regional Portfolio Management Lead with specific projects relating to properties in region.
  • Work closely with other key business functions internally, e.g. IT, Legal, Finance, HR to ensure that facilities arrangements are aligned with these areas.
  • Develop, gain consensus for, and implement the Best Practice / building operation Plan for assigned assets.
  • Work with the Financial Manager to prepare the final budget documentation / plans and administers the works to ensure budget compliance.
  • Arrange for alterations to, or maintenance, upkeep, or reconditioning of facilities as specified in the operating procedures, management plan and / or management services agreement and of leased premises as dictated by lessee's agreement.
  • Maintain role as primary contact for clients relative to service requests. Proactively meet with Business Unit representatives on scheduled basis.  Communicate regularly with the BU representatives, providing necessary support and information on the status of all areas under his/her management.
  • Prepare periodic inventory of building contents and property condition.
  • Employ or contract for services of janitorial maintenance and landscaping personnel and onsite management personnel, as delineated within the operating budget, management plan and/or management services agreement.
  • Develop a close working relationship with all the vendors under his/her control to ensure that they fully understand the BU culture and are made to feel part of the team delivering a high-quality service.

Qualifications

The Regional Portfolio Management Lead will report to the Head of Global Real Estate and Corporate Facilities. This position will be based in Chicago. While teamwork is crucial to this role’s success, the position will require a significant degree of autonomy, creativity, and proactivity.

 

Scope

Supervisory Role; the position will have 3-4 direct reports.

EDUCATION AND EXPERIENCE

  • Bachelor’s degree
  • MBA or similar post-graduate studies preferred
  • Broad range of business experience acquired through previous work experience,
  • 15 years of experience working in Commercial Real Estate, with primary focus in Facilities Management
  • Past experience in a multi-national diversified organizational environment is a plus.

  • Experienced facilities manager with prior management of sites across a national or international remit.
  • Adept in supervising and coordinating work of contractors.
  • Experience in preparing documents to put out tenders for contracted services.
  • Proficient in managing projects, be it with respacing properties, consolidating sites or changing premises.

  • Excellent interpersonal and supervisory skills with an ability to manage managers/leaders and developing great new managers.
  • Strong negotiation and contract skills.

  • Excellent PC skills, proficient in Microsoft Word and Excel; knowledge of various systems (SAP, PeopleSoft, etc.) for cost control.
