What's the role?

The Executive Assistant will be part of the COO's team and will work closely with the COO/CFO (Adeel Manzoor), his Chief of Staff, the Executive Assistant to the CEO and the COO team, ensuring the COO and his team are operating at peak performance in a fast-paced, dynamic environment.

 

The Chief Operating Officer will often heavily rely on the Executive Assistant, trusting that work will be handled efficiently, fast, proactively and to the highest standards in the COO's name. In addition to the daily administrative tasks and responsibilities, the Executive Assistant will be the “eyes and ears” of the COO, having access to influential individuals, and partners to our company. Discretion and confidentiality are therefore essential attributes.

 

  • Proactive support of COO's day-to-day business, ensuring the COO's time is focused on the highest value activities and business issues. Anticipate needs and accomplishes responsibilities without direction.
  • Complex and articulate diary management (of a very active agenda), which includes coordination and management of appointments and events with high profile partners and customers. Prepares end-to-end agendas and management of all logistics and itineraries. Together with the COO, Chief of Staff, take decisions to prioritize requests based on shifting business priorities, allocating appropriate amount of time and ensuring that all meeting details are accurate. 
  • Preparation of complex and detailed travel itineraries (domestic & internationally) including flight and hotel bookings, transfers, appropriate travel visas, and expense claim management
  • Coordination of communications between the COO and internal or external stakeholders. Provide discrete and confidential coordination of sensitive company information and use discretion in interfacing with all levels of individuals.
  • Develop collaborative relationships with others who have a diverse set of working styles and perspectives.
  • Working closely with the COO and his Chief of Staff to keep them informed of upcoming commitments and activities. Acting as a “gatekeeper”, creating win-win scenarios in bids for direct access to the COO's time

This is a challenging role for an executive secretary / assistant who is used to supporting the c-suite of an international technology company. 

 

Who are you?

Most likely you will recognize yourself in the following profile:

  • 2 - 5 years of experience supporting C-Level Executives in an international, fast paced, dynamic (preferably tech) matrix environment
  • Excellent English and Dutch skills are required. Other European languages such as German, an advantage but certainly not a must. 
  • Strong organizational skills and innate ability to prioritize multiple tasks seamlessly and with an excellent attention to detail
  • “Can-do” attitude with an ability to exercise sound judgement in taking quick decisions with little supervision or direction
  • Excellent interpersonal skills and an ability to build relationships with key stakeholders, such as leadership members, board members and customers
  • Proactive approach in proposing pragmatic and effective solutions to a variety of challenges
  • Willingness to go “above” and “beyond” direct responsibilities.
  • Immune to working under stress and the pressure associated with complex working environments
  • Flexible attitude and an ability to handle multiple topics at any one time
  • High level of integrity and confidentiality, as you will be exposed to sensitive information
  • High proficiency in Microsoft Office (Outlook, Word, Excel and Power Point) and collaboration tools such as webex, onedrive, sharepoint etc. 

Our new Amsterdam office in the Atrium Building at the Amsterdam Zuid-As and very well connected to public transport. Given the nature of this role, this is a full-time position where we expect flexibility of the candidate in terms of working hours and availability. Office presence is expected for at least 2 days a week and more when the COO/CFO is around or when important meetings are taking place.
